JOB SUMMARY: The Executive Assistant provides high level administrative support to the Chief Development Officer (CDO). This position involves the planning and coordination of interactions with donors, including research, briefing memos, correspondence, and data entry of actions. This role handles confidential information which requires discretion, diplomacy, and a high level of professionalism. This position is an integral member of the development team and will offer critical support to achieve the fundraising goals of the organization.


ESSENTIAL DUTIES and RESPONSIBILITIES:

• Manages the CDO’s Outlook calendar, credit card expenses, and other reimbursements.
• Monitors the Major Gift donor portfolio of the Chief Development Officer. Anticipates and assists with the planning and coordination of future actions.
• Conducts prospect research and prepares briefing memos in advance of scheduled visits with Major and Planned Gift prospects.
• Drafts and manages correspondence including thank you letters, scheduling and/or follow-up emails and calls, and other approved outreach.
• Manages the editing and personalization of donor acknowledgement letters assigned to the Chief Development Officer for Presidential signature.
• Conducts research on programmatic activity and impact. Drafts proposals for Major and Planned Gift prospects.
• Manages the data entry of Moves Management of donors in the Chief Development Officer’s portfolio into The Raiser’s Edge.
• Assists with the creation of and execution against the annual, integrated calendar of activities for the full Development and Communication Team. Anticipate upcoming activity and proactively work to ensure its successful execution.
• Contributes to the creation of cultivation and stewardship invitations and gift recognition.
• Supports other cross-functional teammates in group projects including the production and mailing of fundraising appeals, assisting with the coordination of the President’s Council and Enzler Society activities, and other unique outreach.
• Collaborates with Donor Services to ensure accuracy of donor records and reporting.
• Analyzes data in Excel spreadsheets and collaborates with Donor Services on monthly fundraising or other metrics.
• Supports the Deputy Director of Development on the budget and its reconciliation as well as other administrative support including preparation of expense reports, reconciling credit card statements, managing purchase orders, and maintaining electronic and paper files.
• Supports the development department by working special events and other functions in the evening and on weekends as needed (i.e. – The Gala).
• Performs other job-related duties as assigned.

Requirements EDUCATION and EXPERIENCE:

• Bachelor’s degree in Business, English, Communications, or related field.
• Five (5) years' experience supporting a mid to high-level executive, preferably in a not-for-profit agency or development office with knowledge of fundraising and stewardship principles and practices.

SKILLS and COMPETENCIES:

• Demonstrated experience with The Raiser’s Edge preferred.
• Ability to interact professionally and diplomatically with staff (at all levels) and external constituents under pressure.
• Strong organizational, interpersonal and communication skills required.
• Strong writing skills with a keen attention to detail.
• Ability to provide exceptional customer service.
• Ability to maintain the highest standards of confidentiality and integrity.
• Ability to assist with budget management and manage approvals for credit cards, purchase orders, and other expenses that impact the budget.
• Ability to manage Chief Development Officer reimbursements, mileage, and related meeting expenses following visits.
